Purpose of the Role
To be the first point of contact for clients and visitors to East Kilbride Citizens Advice Bureau, providing a friendly and efficient reception service. The receptionist will ensure that clients are welcomed, signposted appropriately, and that administrative support is provided to enable the smooth running of the advice service.
Main Duties and Responsibilities
Greet clients, visitors and callers in a polite, professional, and non-judgmental manner.
Manage the reception area, ensuring it is welcoming, tidy, and accessible.
Answer telephone and email enquiries, taking messages and directing them to the appropriate staff or volunteers.
Provide basic information about East Kilbride Citizens Advice Bureau services and other local organisations.
Record client arrivals and manage the client waiting area effectively.
Maintain up-to-date records of client appointments and walk-ins.
Support advisers and caseworkers with administrative tasks such as photocopying, scanning, and filing.
Input and update client data accurately using internal systems (eg CASTLE, 10 to 8 appointment diary).
Handle incoming and outgoing post, emails, and deliveries.
Work collaboratively with staff and volunteers to ensure clients receive a seamless service.
Maintain confidentiality in accordance with East Kilbride Citizens Advice Bureau policies.
Contribute to a positive and inclusive working environment.
Attend team meetings and participate in training as required.
